How Many People Can You Really Fit in a Marquee? A Practical Guide for Your Event

One of the first questions we’re asked at Walkers Hire is: “How many people can we actually fit into a marquee?”

The answer? It depends on a few key factors — and it’s not just about guest numbers. The type of event you’re planning, your layout, and the extra elements like bars, DJs and dance floors all play a big part in determining the right marquee size.

If you’re planning an event in Sydney, here’s what to consider when choosing the perfect marquee.

Start With Your Space (Not Just Your Guest List)

One thing we often see is clients enquiring about marquee sizes without being completely sure of the space they have available in their backyard or property.

Before choosing your marquee, it’s really important to have a clear idea of your usable space and dimensions. This helps avoid selecting a marquee that simply won’t fit once it comes time for installation.

A key tip — always allow for approximately 1 metre of extra space around the perimeter of the marquee for weights and anchoring. This is essential for safety and setup, and it can make a big difference when working within tighter spaces.

Seated Events: Round Tables vs Rectangle Tables

If you’re planning a seated event, your table style will impact how many guests you can comfortably accommodate.

  • Round tables are the most popular for weddings and formal events. They create a more social atmosphere but do take up more space. Typically, you’ll allow for 8–10 guests per table, plus room for chairs and guest movement.
  • Rectangle tables are a more space-efficient option and can work well for long lunch-style events or more casual celebrations. They allow you to fit more guests into the same marquee size, but the layout can feel a little less open.

If maximising guest numbers is a priority, rectangle tables may allow for a slightly smaller marquee — but if you’re after a more premium, styled look, round tables are often worth the extra space.

Cocktail-Style Events: Standing Room = More Guests

Planning a cocktail-style function? Good news — you can generally fit more people into the same space.

Without the need for full table settings, a stand-up cocktail event allows for a higher guest capacity. However, it’s still important to allow space for:

  • Cocktail tables
  • Food service areas
  • Clear walkways for guests and staff

While you can increase numbers, you don’t want the space to feel overcrowded. Comfort is key to a great event experience.

Don’t Forget the Bar, DJ & Dance Floor

This is where many initial plans fall short — forgetting to account for the “extras”.

  • Bar setup: Whether it’s a simple drinks station or a full-service bar, you’ll need to allow space for service, staff movement and guest access.
  • DJ or band: DJs typically require a table setup and access to power, while live bands will need significantly more room. Always factor in both their equipment and a small buffer space.
  • Dance floor: If you’re planning on dancing (and let’s be honest — most great parties do!), you’ll need to allocate a dedicated area. This can significantly impact your overall layout.

These elements can quickly reduce your available guest space if they’re not considered early in the planning process.

So… Do You Need a Bigger Marquee?

In many cases — yes.

A marquee that technically 'fits' your guest numbers on paper may feel tight once you add styling, furniture, catering and entertainment. We always recommend allowing a little extra space to ensure your event feels comfortable, functional and well-designed.

Our Advice: Plan the Layout First

Before locking in a marquee size, think about your full event layout:

  • Guest numbers
  • Table style (or cocktail setup)
  • Bar and catering areas
  • Entertainment (DJ, band, dance floor)
  • Styling and décor elements
  • Available space (including clearance for marquee weights)

At Walkers Hire, we work closely with clients across Sydney to map this out from the beginning — ensuring your marquee not only fits your guests, but also fits your space perfectly.

Backyard Measuring Checklist:

Before you enquire or book your marquee, use this quick checklist to make the process easier:

  • Measure the length and width of your available space (in metres)
  • Note any slopes or uneven ground
  • Identify obstacles like pools, gardens, trees, retaining walls or fences
  • Allow for at least 1 metre extra around all sides for marquee weights and installation
  • Consider access points — can equipment easily get into the space?
  • Think about where key elements will go:
    • Bar
    • DJ or band
    • Dance floor
    • Catering or service areas
  • Take a few photos of the space to share with our hire team

Having this information ready helps us recommend the right marquee size quickly and accurately — saving time and avoiding surprises on the day.
